Welcome to the NGL Rotation Planner
A free digital tool for gymnastics clubs. Build your weekly session schedule once, then display it live on any screen in your gym. The planner automatically detects the current time and day — as the session progresses, the display moves in real time so coaches and gymnasts always know exactly where they should be.
Create a free account
Visit the NGL Rotation Planner and click Create one free on the login screen. Enter your club name, your name, email address and a password. You'll be logged in immediately.
Next time you visit, simply enter your email and password to sign back in.
Set up your Groups & Locations
Before building your timetable, you need to set up two things in the ⚙ Groups & Locations tab:
- Groups — your training groups (e.g. WAG Pearl, MAG Junior, Rec Orange)
- Locations — the apparatus and areas in your gym (e.g. BARS, VAULT MAIN, FLOOR 1)
Adding a Location: click + Add Location, enter the name, select a category (Floor, Bars, Beam etc.) and choose a colour. The colour will appear on the live display to help gymnasts identify their apparatus at a glance.
Adding a Group: click + Add Group, enter the group name, select whether it's a Squad or Recreational group, choose a colour, and tick the days that group trains.
Build your Weekly Planner
Go to the 📋 Weekly Planner tab. You'll see all your groups listed down the left, with the days of the week across the top. Each cell shows where that group should be on that day.
Click + Add session in any cell to add a rotation for that group on that day. A popup will appear where you can set:
- Location — where the group will be
- Start time — when the rotation begins (in 5-minute increments)
- Duration — how long the rotation lasts (quick-pick buttons: 15, 30, 45, 60, 90, 120 mins)
- Activity — an optional label (e.g. Strength & Conditioning)
- Also add to days — if the same session repeats on other days, tick those days and it will be copied automatically
Week A & Week B rotations
Some clubs — particularly recreational classes — use a two-week rotating schedule where groups visit different apparatus in alternate weeks. The NGL Rotation Planner handles this automatically.
When adding or editing a session for a Recreational group, you'll see two location fields:
- Week A Location — where the group goes in Week A
- Week B Location — where the group goes in Week B (leave blank if the session is the same every week)
Use the Week A and Week B toggle buttons at the top of the page to switch the entire planner between the two weeks. The live display will also show the correct locations for whichever week is selected.
Go Live
When you're ready to display the rotation in the gym, click the ▶ Go Live button. The planner will switch to full-screen mode and show a live timeline of all your groups and their rotations for today.
- The display automatically detects today's day and shows the correct schedule
- A red vertical line moves across the timeline in real time showing the current moment
- Active rotations are highlighted — past and future sessions are dimmed
- Blocks flash as a rotation change approaches
- The timeline auto-scrolls to keep the current time visible — perfect for a gym TV or reception screen
Conflict detection
The planner automatically checks for location clashes — if two groups are scheduled in the same location at the same time, both sessions will be highlighted with a red outline in the weekly planner and on the live display.
This makes it easy to spot and fix timetable conflicts before they cause problems in the gym. Simply click the red-outlined session to edit it and move it to a different location or time.
Rotation bell alerts
In the live display, there is a 🔔 bell button in the top right corner. When switched on:
- A ding-dong sound plays at every rotation change
- A large ROTATE NOW alert appears on screen listing the groups that need to move
- The alert disappears automatically after 4 seconds
The bell button turns gold when active and shows 🔕 when switched off. This is perfect for large gyms where gymnasts and coaches may not always be watching the screen.
Multiple users & real-time sync
The NGL Rotation Planner supports multiple users editing at the same time. If your head coach and admin both have the planner open, any changes made by one will appear on the other's screen within seconds — automatically, with no need to refresh.
Your club's data is completely private and separate from other clubs using the platform.
